SUMMARY

The Executive Assistant is responsible for administrative support of the Executive Director, including the management of daily schedules, correspondence (voicemail, email, mail), speaking engagements, travel coordination, general and personal support. The Executive Assistant is part of the Executive Assistant Team.

GENERAL DUTIES

  • Manage correspondence including voicemail, e-mail, and regular mail as needed to ensure a smooth flow of communication to and from the Executive Director
  • Coordinate schedules as the main point of contact for the Executive Director, handling meetings, arranged commitments, and preparations
  • Manage creative project requests, reviews and approval timelines for the Executive Director
  • Make travel arrangements and coordinate speaking engagement logistics for Executive Team as well as all guests
  • Creates drafts for certain written communications and serves as editor/proofer for all written corporate communications
  • Setup and maintain electronic filing systems as needed to ensure easy access to important records
  • Provide personal assistance as needed and serve as primary contact internally and externally
  • Function as coordinator managing logistics for all Executive Staff led events, retreats, staff, and other meetings, etc.
  • Manage expense reports
  • Manage technology
  • Serve as the backup Executive Assistant to the Lead Pastor as needed

SKILLS/EXPERIENCE

  • 5+ years experience as an executive/administrative assistant in a church or corporate environment
  • Great communication skills, verbal experience speaking in front of both small and large groups
  • Excellent writing, spelling and grammar – experience drafting and proof-reading written communications
  • Possession of Bachelor’s Degree in Business or related field is required (Extensive demonstrated experience, in some cases, can be substituted)
  • Some amount of team leadership experience
  • Working knowledge of Microsoft Office, database, web, and other related applications
  • Support network (family/spouse/friends) that are supportive of and engaged in the local church
