SUMMARY

To serve the vision of Rock City Church by being responsible for administrative support of the Lead Pastor, including the management of daily schedules, correspondence (voicemail, email, mail), speaking engagements, travel coordination, general and personal support. The Executive Assistant is part of the Executive Administrative team that are the primary contacts for both the Lead Pastor and Executive Director on all matters requiring their attention.

GENERAL DUTIES

  • Manage correspondence including voicemail, e-mail, and regular mail as needed to ensure a smooth flow of communication to and from the Lead Pastor
  • Manage calendars as primary contact person for meetings and other scheduled commitments and prep Lead Pastor ahead of meetings
  • Setup and maintain electronic filing systems as needed to ensure easy access to important records
  • Make travel arrangements and coordinate speaking engagement logistics for Executive Team as well as all guests
  • Execute sermon prep and serve as editor for all written communications
  • Provide personal assistance as needed and serve as primary contact internally and externally
  • Provide direction and vision for all Executive Staff-led events, retreats, staff, and other meetings, etc.
  • Manage expense reports for the Lead Pastor as well as any financial reporting needs
  • Prepare reports and coordinate with Central Directors to obtain reports as needed for the Lead Pastor
  • Maintain the Executive-level budgets in support of the Lead Pastor and Executive Director
  • Serve as the liaison for the Lead Pastor and other departments, as needed, for projects and tasks
  • Coach and develop direct reports (communicate job expectations, providing feedback, planning, monitoring, and appraising job results)
  • Conduct timely performance evaluations for direct reports

SKILLS/EXPERIENCE

  • 5+ years’ experience as an executive/administrative assistant in a church or corporate environment
  • Excellent communication skills, written and verbal and experience speaking in front of both small and large groups
  • Possession of a bachelor’s degree in business or related field is required (Extensive demonstrated experience, in some cases, can be substituted)
  • Experience in preparing, executing, and evaluating annual budgets while exemplifying good stewardship
  • Some amount of team leadership experience
  • Support network (family/spouse/friends) that are supportive of and engaged in the local church
  • Working knowledge of Microsoft Office, database, web, and other related applications
